Miami Biennial help needed

Quick update: we registered online and paid ~$3,300 via credit card on 12/3/13. Our cc statement shows payment went through.

This morning my husband went on the computer and found reams of documents regarding the convention and what he says are 1) request for $3,300 payment and 2) request that we allow 3rd party credit cards access to our financial info.

He has gone absolutely ballistic. I can't get a word in edgewise. And, because I am visually impaired I can't read all those pages even with magnifiers to confirm what is in those pages. This is probably my first & last convention so I really don't want it to turn into a nightmare.

I have a feeling I'm not the only attendee who woke up to this mess. So please, would someone answer the following questions? Thanks

1. If I am registered and paid, why am I getting all this stuff? Knowing my husband refuses to read all the fine print and I cannot, please summarize it.

2. If IPS computer says we aren't registered & paid, what happened to our wondrous registration form & payment as our cc statement says payment went through?

3. Also, Marriott Dadeland added to the pile of dead trees. Quick question: do we pay them separately at checkout? What about the place in Key West?

4. What is this business about 3rd party cc access? We allow no outside access to our finances. If we want/need to pay for something during the convention, we will do so directly.

You have misinterpreted entirely the mass email sent to around 45 people whose documents or flight information are not recorded. I had a chat with your husband and quickly cleared up the issue of needing your signed waivers.

Nowhere in the email did it state you had not paid for your registration. The form for cc authorization is only for those people who need extra nights at the hotel, as was clearly stated in the email.

I don't really appreciate you taking this misunderstanding to the entire world before we had a chance to have that conversation, especially when you say you cannot read the email.

There are a lot of loose ends to tie up prior to the Biennial, and spreading needless panic will not make the job any easier.

Here is the email in its entirety. Maybe some of you reading this still need to send me your flight details? :)

Subject: Flight Arrival and Departure Details

Dear IPS Biennial Attendees,

Please email me your flight arrival and departure details including

dates, name of airline, flight number, and arrival and departure times.

If you will not arrive by air, please let me know.

In addition, if you need extra nights beyond May 24 to May 31 at the Miami Dadeland Marriott Hotel and have not made arrangements, please contact the hotel directly using the attached form, and be sure to include your Confirmation Number. (If you do not have a Confirmation Number, please contact me.) We want to be sure everyone has a room the nights they expect!

Please email, fax, or mail your signed wavier to me. Each participant must have a signed release. For an online copy of the release form, click here.

Name tags: If you prefer a name other than your full name, please email me the preferred name for your name tag. For example, if you are registered as "William Smith," but prefer "Bill Smith" you must let me know.

The Biennial Committee Volunteers are working hard to ensure you will have a pleasant stay and an exciting time in Florida. Thank you for your attention to these details.

Kim, I apologize for our misunderstanding the e-mail. I was not intending to cause problems on PT but I could not get through the small print and figured, perhaps wrongly, I wasn't the only one who was confused by this e-mail. Thanks for clearing the matter up and for all the hard work you have put in.
